How to track your records after they leave your company.

This is easily achieved. Once the records are picked up from your location, we transfer them to our data sorting department where they are sorted, indexed and registered into our system. A Notification Will then arrive at your liaison officers email notifying him that the entry of the records has been completed in the system, and then you can login to our web-services page and review all the files indexed and stored in our warehouse. Following you can have live reports from our web-services page about any movement your records have gone through.

 

Physical visit to review your records in KRM’s warehouse.

By contacting your company’s account manager, we can organize your authorized person to visit and take a tour in facilities. Although access to KRM’s facilities is restricted only to authorized personnel, this can be arranged for our clients under supervision.

Our Web Based software was designed by us to offer and produce a wide range of management reports.

We offer a full service for the imaging/scanning of all your records which are then uploaded onto our servers. If you do choose to have this service then you can actually view, download and print any of your records through our web based software 24 hours a day 7 days a week.


Additional Solutions offered for viewing your records electronically.

Apart from our in-house management system, we can now offer you KRMS (Kazoulis Records Management System), a tailor made system by us which can be installed at your in house IT infrastructure, which was designed to manage all your in-house scanned / imaged records, as well as all electronic records that created on a daily basis, bringing your organization closer to “paperless”. The system also has the capability to produce detailed reports about all files stored within it. Retrieving stored records from KRM.

As long as you have been granted access credentials to our web-services from your company’s liaison officer, then the procedure is quite easy. Just login to the web-services section, and use the embedded record search facility to locate your records. Requests for retrieving stored records can also be completed by fax of email.

If you are having trouble locating what you are looking for, our well trained personnel will take your request and within minutes will respond accordingly to help you.

If you wish to retrieve a particular record, this can be sent to you via fax or e-mail within 45 minutes from the requested time.

If you wish to retrieve the original record, delivery time will not exceed four hours throughout Cyprus.

Every time retrievals occur, our system will automatically sends an e mail to your company’s dedicated authorized person informing him/her as to the retrieval details i.e. who is retrieving the file, the type of file, time, date and all other necessary related information.


Returned retrieved records back to KRM warehouse

Once you are finished with a particular retrieval, call us, fax us or e-mail us and one of our representatives will come by your office to collect the files to be returned. Once a file is returned back to us, our system will send an e-mail to your company’s authorized person informing him/her as to the returned file details.
